Website Terms of Use · Platform Privacy Policy
This Website Privacy Policy explains what information VoteCivic, LLC ("VoteCivic," "we," "us," or "our") collects when you visit votecivic.com, how we use it, and the choices you have.
What This Policy Covers
This policy covers votecivic.com, our public website. It covers the pages anyone can reach without an account and the forms on those pages.
It does not cover the VoteCivic platform at app.votecivic.com. If you use the platform, the information we collect is described in our Privacy Policy at votecivic.com/privacy-policy, and your use of it is governed by our Terms of Service at votecivic.com/terms and our End User License Agreement at votecivic.com/eula.
It also does not cover information a campaign, committee, or other customer collects using the platform. That customer controls that information. If you have a question about information a campaign holds about you, ask the campaign. If you are not sure who that is, contact us and we will point you in the right direction.
You cannot buy anything, create an account, or log in on this website. All of that happens in the platform.
Information You Give Us
Our contact and lead forms ask for some combination of the following:
- First and last name
- Email address
- Phone number, which is optional
- The campaign or organization you are with, and your role
- Your message
- On event pages, your state and which events you attended
When you submit a form, it goes to HubSpot, the customer relationship system we use to keep track of who has contacted us. Submitting creates a contact record. Someone from our team may follow up with you, and that follow-up can include marketing email about VoteCivic. Every marketing email has an unsubscribe link, and you can ask us to delete your information at any time.
Please do not send us voter records, donor records, or personal information about other people through a form on this website. If you need to share that kind of material, contact us first and we will arrange a better way.
Digital business cards.
Some of our team members have a card page on this website, such as votecivic.com/tony. Those pages offer you a contact file to download, and on an Android device they can open your contacts app. The page does not collect anything from you. Saving a contact happens on your own device.
Information We Collect Automatically
Cloudflare hosts and serves this website, and its servers log requests in the ordinary course of delivering pages. Those logs include your IP address, browser type and version, operating system and device type, the pages you view, the site or link that referred you, and the date and time.
We use Google Fonts, so your browser requests font files from Google's servers. That request tells Google your IP address.
Our links and QR codes often carry tracking parameters, the ones that begin with "utm_". They tell us which team member, which printed piece, or which event sent you to the site. They describe the source of the visit, not you.
Cookies and Analytics
We use Google Tag Manager to load and manage the tools below. Tag Manager does not collect anything on its own.
Google Analytics 4.
Measures how people find and move through the site: pages viewed, how long you stay, where you came from, how far down a page you scroll, and whether a form submission succeeded or failed. The form event records only that a submission happened and whether it worked. It does not include anything you typed. Google processes this information for us and may also use it under its own policies.
The Meta pixel.
Lets us measure how our advertising on Facebook and Instagram performs, and lets us show ads to people who have visited the site. This involves sharing information about your visit with Meta.
Google Ads remarketing.
Lets us measure how our ads on Google and its partner sites perform, and lets us show ads to people who have visited the site. This involves sharing information about your visit with Google.
An internal traffic cookie.
We set one first-party cookie of our own, on our own team's devices, so their visits are excluded from our reports. A team member turns it on deliberately. It is not set on ordinary visitors.
What HubSpot does and does not do here.
HubSpot is where form submissions go. HubSpot's website tracking code does not run on this website, so HubSpot does not set a tracking cookie here and does not follow you around the site. It receives what you type into a form when you submit it, and nothing else.
We do not intentionally send political affiliation, voter records, donor records, form contents, or any information from the VoteCivic platform through these analytics and advertising tools.
If we add or remove any of these, we will update this section.
How We Use This Information
We use what is described above to:
- Reply to you and follow up about VoteCivic.
- Send you marketing email about VoteCivic, which you can stop at any time.
- Measure how our advertising performs and show ads to people who have visited the site.
- Understand which team member, printed piece, or event brought someone to the site.
- Understand how the site is used and make it better.
- Keep the site secure, find technical problems, and prevent abuse.
- Comply with applicable law.
Your Choices
- Unsubscribe. Every marketing email we send has an unsubscribe link. It stops marketing email and does not affect a reply to something you asked us.
- Browser controls. Most browsers let you block or delete cookies, and some block third-party trackers by default. Blocking cookies will not stop you from using the site.
- Google Analytics. Google offers a browser add-on that stops Google Analytics from collecting your activity, at tools.google.com/dlpage/gaoptout.
- Advertising. Your device's advertising settings let you limit ad tracking, and your browser settings let you block advertising cookies.
- Meta. You can review and change how Meta uses your activity for advertising in the ad preferences settings of your Facebook or Instagram account.
- Google. You can review and change how Google uses your activity for ads in My Ad Center, at myadcenter.google.com.
- Ask us. Email votecivic.com/demo and tell us what you want. See "Your Rights" below.
Browser settings and privacy extensions may limit cookies and block some analytics or advertising requests. How well they work varies by browser and configuration, and they may not stop all technical information from being collected by the site or the companies that serve it.
We Do Not Sell Your Information
We do not sell your personal information for money, and we do not hand it to anyone for their own separate marketing.
We do advertise. Some of that advertising is aimed at devices in particular areas. Some of it, through the Meta pixel and Google Ads remarketing described above, is shown to people who have visited this website, and those tools share information about your visit with Meta or Google. Under some state privacy laws that counts as a "sale" or as "targeted advertising" even though no money changes hands. The browser and device controls described above apply, and you can always write to us.
When We Share Information
We share the information described in this policy with:
- Companies that work for us. HubSpot for our contact records and email, Google for analytics, fonts and advertising, Meta for advertising, and Cloudflare for hosting. They handle it on our behalf.
- Our corporate affiliates. Any person or entity that directly or indirectly controls, is controlled by, or is under common control with VoteCivic, LLC, for operating and improving our websites. Anything we give an affiliate is handled under this policy.
- Legal and safety. We may disclose information when we believe in good faith that we have to, in order to comply with a law, subpoena, warrant, court or regulatory order, or other valid legal process, or when we believe it is necessary to detect fraud or protect the safety, security, or legal rights of VoteCivic, our visitors, the site, or the public.
- A future owner. We may transfer information as part of a sale, merger, or other transfer of all or substantially all of our assets, or if we wind down the business.
Your Rights
You may ask us to do any of the following, and we will honor the request regardless of where you live:
- Tell you what we hold. Ask for a copy of the personal information we hold about you from your use of this website, and where we got it.
- Correct it. Ask us to fix information that is wrong or incomplete.
- Delete it. Ask us to delete information we hold about you, unless the law requires or permits us to keep it.
- Stop marketing. Ask us to stop sending you marketing email.
To make a request, email votecivic.com/demo and tell us what you would like us to do. We will acknowledge it and respond within thirty days. We may need to confirm who you are before we act, and we will use what you send us for that purpose only.
We will not deny you service, charge you differently, or give you a lesser experience because you exercised any of these rights.
Depending on where you live you may have additional rights. Where you do, we will honor them.
How Long We Keep Information
Contact records in HubSpot are kept for as long as we have a reason to stay in touch with you, and we delete them when you ask.
Google Analytics keeps user-level and event-level information for 14 months, subject to the retention settings on our account. Reports built from it may be kept longer in summary form.
Information shared with an advertising vendor is kept by that vendor under its own policies and retention periods, which we do not control.
Cloudflare request logs are kept for a short period under Cloudflare's standard retention.
Children
This website is for campaigns, committees, organizations, and the people who work with them. It is not designed for or directed to children under 16, and we do not knowingly collect personal information from anyone under 16 through this website. If you believe someone under 16 has sent us information through this website, email votecivic.com/demo and we will delete it.
Security
We take precautions to protect what we collect and use physical, technical, and administrative safeguards designed to prevent unauthorized access. Information sent over the internet can never be completely secure, so we cannot guarantee the security of what you send us.
Links to Other Websites
This website links to other sites we do not control, including our social media pages. We are not responsible for their privacy practices. Read their policies before you use them.
Browser Privacy Signals
Some browsers and extensions send automated privacy signals, including Do Not Track and Global Privacy Control. This website honors Global Privacy Control: when your browser sends it, the Meta pixel and Google Ads remarketing do not run. It does not currently respond to Do Not Track. The choices described above are available to you, and you can always write to us.
Changes to This Policy
We may revise this policy. When we make a meaningful change we will post the new version here and update the "Last Updated" date above. We suggest checking it now and then.
How to Contact Us
